Workshop Administrator Vacancy

FTX Logistics holds a contract to provide a Heavy Equipment Transporter (HET) Service in support of the Ministry of Defence using a fleet of 80 tank transporters.

We are seeking to recruit an Administrator to join our small and thriving team at the Bulford Operating Centre to manage Fleet Maintenance and Compliance records. Ideally, we are looking for a confident and practical assistant with experience in an administration assistant role, who can absorb data from multiple sources. As the Workshop Administrator, you will be involved in a variety of activities to assist the engineering team and the Company as a whole. You will work closely with the Workshop Engineering Manager and the Compliance Manager. As a flavour of the various aspects, you can expect involvement in:  

o Maintaining fleet maintenance records to DVSA standards.

o Check records for completeness.

o Raising workshop procurement documentation for spare parts.

o Manage workshop consumable stock.

o Input relevant training and competence data.

You will need to be reliable and have an excellent work ethic, confident in using MS Office products, able to learn new applications, working as both part of a team and independently. This role may suit someone with proven administration skills seeking progression or an individual returning to the workplace. Most important is the fit as a person into our team; training will be provided as necessary to allow you to thrive in the role.

This is a full time, permanent post of 40 hours per week with a salary banding of £23k to £25k.

Main Duties and Responsibilities

Health, Safety & Environment

Although the Company has a responsibility to promote a safe place of work, you have the final level of responsibility for ensuring safe and healthy work conditions are maintained for all.

• Implement the Company Safety Management plan

• Be responsible for Health, Safety and Environment at all FTX facilities you attend

• Ensure that Health & Safety standards, including the wearing of PPE, are met at all times

• Carry out HSE checks as directed

• Follow the Company Zero Harm and Courage to Care ethos

Fleet Administration

• Raise and complete job cards, prior to commencement of activities.

• Maintain Fleet Maintenance Records

• Enter Driver Reportable Defects (DRD) onto FTX MIS

• Raise Workshop procurement request documentation

• Analyse & assist in rectifying job card errors

• Workshop consumables stock management

• Be familiar and comply with applicable COSHH assessments

Compliance Administration

All activities to be of a standard to meet Operator Licence and Legislation criteria.

• Process Inspection sheets

• Maintain vehicle files (electronic and hard copy) as required by the CM

• Check documentation received for Catterick/Bulford for completeness

• Support maintenance of competence and training records

• Maintain H & S required data

• Maintain Currency database and associated records

• Input manual Tacho rolls and raise issues

• Assist Compliance Manager as required

General Administration

• Book in deliveries and receipt stores when required. (DA(S))

• Maintain Employees’ Car Insurance database

• Input training and currency data as required

• Participate in meetings as required. • Liaise with FTX staff, MoD, and subcontractors

• Assist FP with stock taking as required
